What to expect, before you book

By reserving a spot at any Jax Night Market event, vendors agree to the following terms and to our vendor Standard Operating Procedure. Please read both carefully before booking — if anything is unclear, reach out before you pay.

Vendor Equipment & Setup

Vendors are responsible for bringing all equipment and supplies needed to operate their booth. This includes — but is not limited to — tents, tables, chairs, displays, signage, product, change, packaging, and any tools or accessories required for your specific operation.

All vendor tents must be 10′ × 10′ in size. Tents larger than this will not be permitted to set up. Tents must be properly weighted (we recommend a minimum of 25 lbs per leg) to comply with city safety requirements — stakes are not permitted on most of our venue surfaces.

There are no on-site water hookups at any of our venues. Vendors requiring water must bring their own supply.

Power & Generators

Most of our venues do not provide electrical hookups. Vendors who require power for their setup must bring their own generators. We strongly recommend quiet, low-decibel generators (rated 60 dB or lower at 23 feet) out of consideration for neighboring vendors and attendees.

Francis Field in St. Augustine has limited distributed power available near the public restrooms — if you'd like to inquire about access, contact us before the event. All other venues require self-supplied power.

Permits & Licenses

Vendors are responsible for ensuring they have all required permits and licenses for their vendor type. Depending on what you sell, this may include:

  • Food vendors (tents and trucks): A valid Florida Department of Business and Professional Regulation (DBPR) license, applicable city or county health permits, and any other certifications required to prepare and sell food in Florida.
  • Food trucks and trailers: Up-to-date fire inspection certifications and any mobile food vendor permits required by the host city.
  • Retail and merchandise vendors: A Florida business tax certificate or applicable resale/sales tax registration with the Florida Department of Revenue.
  • Service vendors: Any professional licenses required to legally provide your services in Florida.

Jax Night Market may request proof of licensing prior to the event. Vendors found operating without required licenses will be asked to leave without refund and may be banned from future events.

Insurance

General liability insurance is not mandatory to participate as a vendor — but it is strongly recommended. Vendors operate at their own risk, and Jax Night Market is not responsible for any loss, damage, theft, or injury occurring before, during, or after the event.

If you'd like to obtain event coverage, there are several affordable single-event vendor insurance providers that offer policies starting around $50 — we're happy to suggest a few if you ask.

Weather Policy

Jax Night Market events are rain or shine. Vendors are expected to set up and operate even in light rain or overcast conditions. Please come prepared with weather-appropriate gear including tent weights, sidewalls, and waterproof covers for product.

In the rare event of extreme weather (hurricane, severe thunderstorm warnings, or other conditions deemed unsafe by event organizers or local authorities), Jax Night Market reserves the right to cancel, postpone, or shorten an event. In such cases, the event coordinator may issue partial credit toward a future event — refunds are not guaranteed and remain at the coordinator's discretion.

Cancellations & Refunds

All vendor fees are non-refundable. This includes — but is not limited to — vendor no-shows, late arrivals, voluntary cancellations, and changes of mind. Once payment is submitted, your spot is reserved and the fee is forfeited if you do not attend.

Under exceptional circumstances (documented medical emergency, family bereavement, or comparable unforeseen events), the event coordinator may issue a refund or credit toward a future event. Any such refund is granted entirely at the coordinator's sole discretion and is not guaranteed.

To request consideration, email info@jaxnightmarket.com as soon as you know you cannot attend. Requests made after an event has already occurred are unlikely to be granted.

Booking confirmation: Square's payment receipt — emailed to the address you used at checkout — serves as your official booking confirmation. Jax Night Market does not send a separate confirmation email; setup details and spot assignment are communicated directly closer to the event.

Event Rules & Conduct

Vendors are expected to follow all event rules, instructions from Jax Night Market staff, and applicable city ordinances at all times. This includes setup and breakdown windows, designated load-in and load-out areas, parking restrictions, and quiet hours where applicable.

Vendors must treat other vendors, attendees, staff, and venue personnel with respect at all times. Professional conduct is expected throughout setup, operation, and breakdown.

The following are prohibited and may result in immediate removal from the event without refund:

  • Selling products or services not approved or disclosed in your vendor application
  • Disruptive, intimidating, or aggressive behavior toward other vendors, staff, or attendees
  • Leaving your booth unattended without notice during event hours
  • Breaking down before the official event end time without prior approval
  • Operating in a way that creates a safety hazard for attendees or other vendors

Failure to comply with event rules may result in being banned from future Jax Night Market events. Repeated or serious violations may result in permanent removal from our vendor roster.

Final Notes

By booking a spot, you confirm that you have read, understood, and agreed to these terms. Jax Night Market reserves the right to update these terms at any time; the most current version will always be posted on this page.

Standard Operating Procedure
On Event Day

Vendor Standard Operating Procedure

Every vendor must follow our SOP for load-in, load-out, booth setup, safety, and waste disposal. The key points are below, and the full document is embedded at the bottom of this page — please read all of it before your event.

Load-in & setup

Load-in runs 12:00–3:30 PM. Food vendors must arrive by 1:00 PM to allow time for DBPR inspection. All vendors set up by 4:00 PM. Move vehicles right after unloading — no driving on grass or pavers.

Booth & equipment

Bring everything you need: a 10′×10′ tent (unless extra space was purchased), tables, chairs, and displays. Tent weights are required (40–80 lbs per leg recommended). Tent lighting is required — bring a long extension cord and a backup generator.

Trash & waste

Do not use the event trash cans — use the dumpster beside the stage. Food vendors: never pour oil on the ground, and keep a protective mat under all cooking equipment.

Weather

Events are rain or shine. If an event is canceled for severe weather or an emergency, a credit is applied toward your next event. Secure your tent, booth, and product against wind at all times.

Food vendors: a Class K fire extinguisher is required on-site at all times. It must be the correct type for grease and cooking fires (red cylinder with a silver band), fully charged, not expired, visible, and easily accessible. Food trucks using propane must also meet all fire-code requirements. Without a proper extinguisher, you may not be allowed to operate.
